For US RV hosts on Outdoorsy and RVshare

Close your books, even if your fleet is one rig.

CloseFleet is the tax back office for US owners who rent one to three RVs through Outdoorsy or RVshare. It turns a scattered year of platform payouts, receipts and miles into one file your CPA actually wants — reconciled, categorized, and flagged where a decision is needed.

Built from a real rental business's books No 1099-K? Still covered Works with your CPA's software
Watch it work

Thirty-five seconds, start to packet.

A host's April problem, then the actual studio: business, rig, records, gaps, generate.

The problem it solves: platforms deposit net, report gross, and your CPA rebuilds the bridge by hand — at $150–300/hr. The fix: the bridge, built for you.
The April problem

Your tax year is scattered by design.

🧾

Income that doesn't reconcile

Outdoorsy reports gross guest payments on the 1099-K but deposits net payouts. Fees, refunds and damage payouts sit in between — and most single-rig hosts never receive a 1099-K at all, so there's nothing to check their numbers against.

🗂️

Expenses live everywhere

Email receipts, a business account, a personal card, a notebook in the glovebox. Half your deductions are findable. The other half are archaeology — and unlogged miles are deductions you simply lose.

📉

Depreciation, undocumented

The biggest number on your return hinges on the placed-in-service date, a basis that includes use tax and title fees, and personal-use vs rental days — a count almost nobody keeps and everybody needs.

The deliverable

What your CPA gets

One printable packet + spreadsheet files that feed QuickBooks, Lacerte, ProConnect, or TurboTax.

Cover sheet

Business details, entity type, EIN, owners, platforms, asset list — and anything that needs your CPA's eye, called out up front.

Sample — Happy Cherry Adventures LLC · Multi-member LLC · RVshare + Direct · 1 travel trailer

Income, reconciled line by line

Gross by platform → fees → refunds → adjustments → what hit your bank. Every variance explained in plain words — or flagged until you explain it. No 1099-K? The packet says why (the federal rule needs both $20,000 and 200 bookings — the IRS's Form 1099-K page) and still reports the income in full.

Sample — 1099-K gross $25,150.00 · Booked $24,800.00 · Variance $350.00 — timing, explained · Payout check ✓ exact

Expense ledger

Categorized, mapped to tax lines, tagged per asset, receipt status shown. Refundable deposits clearly excluded.

Sample — Insurance $640.00 · receipt ✓ · Storage $1,800.00 · receipt ✓ · 5 of 6 lines with receipts

Mileage log

Date, vehicle, purpose, miles — business and personal visibly split, personal miles excluded from the total, the IRS rate for the year applied. Every entry carries its source: logged, imported, or reconstructed and confirmed by you. Never dressed up as something it isn't.

Sample — 214 business miles · 40 personal miles excluded · $0.70/mi · $149.80 deduction

Asset & depreciation sheet

The page nobody else produces. Per asset: purchase price + use tax + title fees = basis, placed-in-service date, bonus percentage, depreciation taken to date, remaining basis — and the rental-days vs personal-use-days count the whole calculation stands on. Scenarios are shown as scenarios; the claim is your CPA's to make.

Sample — $20,525 basis · $6,200 depreciation already claimed · $14,325 remaining

Document index

Bill of sale, title, registration, insurance declarations, storage contract, 1099s — listed, bundled, and checked off. If something's missing, it's named here and asked about in the gap check, not discovered by your CPA in April.

Sample — Bill of sale ✓ · WA title ✓ · Insurance declarations ✓ · Form 1099-K ✓ · Prior-year depreciation schedule ✓

The bridge your CPA rebuilds by hand, built for you

Platforms pay net and report gross. CloseFleet shows the whole bridge — and won't call a packet done while a variance is unexplained.

What guests paid (gross)$28,400.00
Platform kept (fees)−$4,960.00
Refunded−$150.00
Adjustments (damage, extra charges)$0.00
What hit your bank$23,290.00 ✓ TIES TO YOUR STATEMENTS

That's a real packet, generated from a sample host's year — every section, flag and reconciliation included.

How it works

Two ways in. One packet out.

Most hosts don't log anything during the year — so CloseFleet doesn't require you to. Arrive however you actually live:

Rebuild mode · the default

Show up in April with the pile

Download your platform reports and bank statements, drop them in, and let CloseFleet assemble the year:

  1. Import — Outdoorsy / RVshare exports, bank & card statements, receipts, 1099s, last year's depreciation schedule.
  2. Reconcile — payouts are tied to statements; deposits are never double-counted as income.
  3. Gap check — you're asked only about what's missing (below).
  4. Confirm & generate — you approve the figures; the packet is generated. Your CPA reviews.
Track mode · the upgrade

Log as you go

Trips, miles, receipts and documents, captured while they're fresh — the way a working host's dashboard already runs:

  1. Log — each trip, drive and receipt in seconds.
  2. Day counts build themselves — rental vs personal use, tracked all year.
  3. Tax season is a button — the same packet, zero reconstruction.
The magic step

The gap check: ten minutes of questions instead of a blank spreadsheet

After import, CloseFleet knows what a rental year should contain — and asks only about what's missing. Try it:

Your 2026 gap check

0 of 4 resolved

DRAFT — 4 open items. A packet with open gaps is a draft, not a filing.

Was there a storage expense for the rig? Why it matters: the packet checks the categories a rig like yours usually has — a missing category is a prompt, not an accusation. Evidence: bank/card statements, or the storage agreement. If you answer: the expense joins the ledger with its receipt. If it doesn't apply, that's recorded too — never silently dropped. Confirmed: doesn't apply.
How many days did you use the rig personally this year? Why it matters: the §280A personal-use test and your depreciation both stand on this count. Evidence: your calendar and booking records. If you answer: unlocks the §280A test and the business-use percentage. Confirmed: doesn't apply.
Did you drive for deliveries, supplies, or maintenance? Why it matters: unlogged miles are deductions you simply lose. Evidence: your calendar and fuel receipts. If you answer: adds the mileage deduction — reconstructed entries are labeled, never dressed up as contemporaneous. Confirmed: doesn't apply.
What were the title / registration fees? Why it matters: they're part of basis — every dollar missing understates depreciation. Evidence: your registration receipt. If you answer: raises the basis your deduction is computed from. Confirmed: doesn't apply.
Founding-season pricing

Priced for owners, not vendors

One packet per tax year. Organizing is free for everyone — and if your books are simple, the packet is free too. You pay only for complexity: the messy kind a CPA bills cleanup hours for. Nothing ever costs more than $39.99.

Do the anchor math: one hour of CPA cleanup runs $150–300 — that's 15–30× the $9.99 packet, and still 4–8× the most CloseFleet ever charges. One missed $500 deduction at a 22% bracket is $110 back — 11× the $9.99 packet. CloseFleet costs less than the problem it removes.

Questions

Asked by every host

Do I still need a CPA?

Yes — and CloseFleet makes yours cheaper and happier. CloseFleet organizes and reconciles your records; it doesn't prepare returns or give tax advice. Determinations (like Schedule C vs Schedule E, or the personal-use test) are flagged in the packet with the underlying facts, and your CPA makes the call.

I never got a 1099-K. Is this still for me?

Especially for you. Federal rules only require a 1099-K when a platform pays you more than $20,000 across more than 200 bookings — most single-rig hosts qualify on neither, yet owe tax on every dollar. (The rule, from the IRS itself: Understanding your Form 1099-K.) Your packet reports the income in full and explains the missing form, so neither you nor your CPA has to wonder.

Which platforms does it work with?

Outdoorsy and RVshare — plus direct bookings (Stripe, Square, cash) and any platform whose export is a spreadsheet file. We start with RVs: boats, trailers and equipment follow once the RV workflow works reliably.

I kept no records this year. Can it still help?

That's Rebuild mode — the default path. Platform exports, bank and card statements, and your prior-year return rebuild most of the year automatically. What's genuinely missing becomes a short list of targeted questions (the gap check), and anything reconstructed is labeled as such. Nothing is dressed up as a contemporaneous log.

What does my CPA get, exactly?

One printable packet (PDF) plus all your files in one download: income, expenses, mileage and depreciation as spreadsheets that feed QuickBooks, Lacerte, ProConnect or TurboTax, with your source documents indexed and bundled. Your CPA reviews a finished file instead of billing you to assemble one.

Do I need an account to try it?

No. Open the studio and build your packet as a guest — everything saves in your browser. Create a free account when you want your books synced across devices, the encrypted document vault, and a view-only link you can send your CPA.

When can I get my packet?

Right now — the studio is open. Founding-season pricing runs through April 2027 for the 2026 tax year.

Your 2026 packet is four steps away

Business, rig, records, packet. Most hosts finish in one sitting — and if your books are simple, it's free.
